4. Scope
This Privacy Notice covers important information relating to our processing of your personal data when you apply for an employment position with us, particularly information pursuant to Regulation (EU) 2016/679 (“GDPR”). At Aon Assessments (“Aon”, “we”, “our” and/or “us”) we always take the confidentiality, integrity and accuracy of your personal data seriously.
5. Purpose
The purpose of our processing of your personal data is to assess the possibility of entering into an employment relationship with you. Where your personal data are used by us for statistical purposes, this personal data is irrevocably anonymized so that it no longer identifies you personally.
6. Legal Basis
The legal basis for our processing of your personal data is Article 6(1)(b) of the GDPR, in that the processing of your personal data is necessary for entering into any future employment relationship with us.
Germany: If you are applying from Germany, the legal basis for our processing of your personal data is Section 26(1) of the amended Bundesdatenschutzgesetz (BDSG-neu).
Not providing personal data means that you will not able to enter into an employment relationship with us.
Where we anonymize your personal data for statistical purposes, we rely on Article 6(1)(f) of the GDPR as our legal basis. Our legitimate interest in doing so is to improve our application process by understanding applicant trends.
7. Storing of your Personal Data
Aon does not store personal data any longer than we need to for our above stated purposes. If you are unsuccessful in your application, your personal data are deleted by us, unless storage is required by national laws. Where we store your personal data for future positions, we will collect your consent to do so.
8. Recipients of your Personal Data
Only Aon will be involved in considering your application. Aon only shares your personal data beyond this, including with third parties, where necessary. This is primarily third-party service providers who support us with IT services. This includes the platform we use for applicant management. In addition, our applicant management service provider allows you to make an application using your social media profile. This means that where you choose this method of application, basic information from your social media profile is retrieved and uploaded as part of your application details. There is therefore an exchange of data with the relevant social media entity. Any further sharing of your personal data will only occur where necessitated by law.
9. Transfers
Even if you are located in the European Union, personal data collected may be processed in a country where the adequacy of that countries data protection laws have not been approved by an adequacy decision of the European Commission. Where we transfer personal data in this manner, we will ensure that adequate safeguards are in place to ensure the protection of your personal data, including the conclusion of standard EU contractual clauses for the transfer of data, which provide you and your personal data with adequate protection. 11. Automated decision-making
For certain positions within Aon, you will be required to complete Aon’s psychometric testing before a human recruiter looks at your application. These psychometric assessments have a direct correlation with the role you have applied for, and therefore, where you score below a certain grade it is assumed by Aon that you would be unsuitable for the role. Therefore, where your results do not meet our set threshold, you will be automatically rejected for the position.
Where you have been automatically rejected for a role, you may still contact Aon and obtain human intervention in the decision, express your point of view and/or contest the decision. Please contact gdpr.assessment@aon.com to do so.
12. Your personal data rights
Aon will always facilitate your requests when you exercise your rights over your personal data. Below you will find more information regarding these rights.
When you make a request for your personal data, please specify in which form you wish to receive the information. If you do not specify this, Aon will respond to your request in the same form in which you made your request. We will make contact with you and attempt to resolve your request within a one month time frame. For manifestly unfounded or excessive requests, Aon is entitled to demand a reasonable fee or refuse the request.

12.1 Access (Article 15, GDPR): You have the right to request confirmation as to whether Aon processes your personal data. Where Aon processes your personal data, you have the right to request access to your personal data.
12.2 Rectification (Article 16, GDPR): You have the right to request that inaccurate or incomplete personal data processed by Aon is rectified or completed. Your right to do so can be exercised by providing a supplementary statement. Where Aon has disclosed your personal data to other recipients, Aon will, where possible, inform them of such correction and provide information as to these recipients where you so request.
12.3 Erasure (Article 17, GDPR): You have the right to request the erasure of your personal data from Aon, where there is no legal exception for its retention. Please note that Aon is subjected to various legal storage requirements. Where Aon has disclosed your personal data to other recipients, Aon will, where possible, inform them of such correction and provide information as to these recipients where you so request.
12.4 Restriction of processing (Article 18, GDPR): You have the right in certain instances to request the restriction of the processing of your personal data. Where Aon has disclosed your personal data to other recipients, Aon will, where possible, inform them of such correction and provide information as to these recipients where you so request.
12.5 Data Portability (Article 20, GDPR): You may be entitled to request a copy of your personal data in a commonly used and machine readable format. This right includes the right to request Aon to transmit the personal data to another controller at your direction. This right is only available to you where the personal data has been provided by you, and is processed on the basis of consent or on the performance of a contract, or where the processing is carried out by automated means.
13. Data Subject Rights: Objection
Objection to our processing of your data (Article 21, GDPR)
Where your personal data is processed for the purpose of performing tasks carried out in the public interest (Article 6(1)(e)), for the purpose of legitimate interests of the controller (Article 6(1)(f)), or for the purpose of direct marketing and profiling related to this (Article 21(2)), you are able, based on the grounds relating to your particular situation, to object to the processing of your personal data.

You always maintain the right to submit a complaint with your local supervisory authority, relating to our processing of your personal data.
